How many times should you follow up with a cleaning lead?
What to do
- Use a defined sequence instead of relying on memory.
- Change the purpose of each follow-up: clarify, remind, reduce friction, then close the loop.
- Stop on reply, decline or opt-out.
A simple five-touch sequence
A cleaning business can use a lightweight cadence without sounding aggressive. The first touch confirms the inquiry. The next checks whether the prospect needs help. Later touches can answer a common uncertainty, restate the next step and finally close the loop.
- Touch 1: acknowledge the inquiry
- Touch 2: ask whether they need help with scope or scheduling
- Touch 3: follow up on the quote or requested next step
- Touch 4: address a likely friction point without discounting automatically
- Touch 5: close the loop and invite them to return when timing is better
Do not send the same message five times
Repetition is not a strategy. Each follow-up should add context or make the next step easier. If the prospect already has a quote, ask whether they have questions about scope or timing. If they have not supplied enough information, ask for the missing detail instead of sending another generic 'checking in'.
When fewer follow-ups are better
Stop immediately after an opt-out or clear decline. Reduce automation when a prospect is already in an active two-way conversation. High-value commercial opportunities may need a longer human-led sales cycle, while a low-value one-time inquiry may justify a shorter sequence.
What to track
Track whether the lead replied, whether an estimate was sent, the current pipeline stage and the next scheduled action. That information matters more than an open-rate vanity metric because it tells you whether the opportunity is moving.
Make the sequence reusable
The free 2H Clean Growth Kit includes follow-up scripts you can adapt. Use them as a starting point, then rewrite the messages around your service area, quoting process and voice.
Put this into practice.
